Privacy policy
This Privacy Policy explains how Clear IT Networks LLC handles information when it operates BenchRelay and its public websites, including staff workspaces, customer tracking, conversations, notifications, photos, and reporting.
1. Who is responsible
Clear IT Networks LLC is responsible for the BenchRelay service. When a repair shop or other organization uses BenchRelay to manage its own customer records, that organization may decide why customer information is collected and how it is used. In those cases, the organization is responsible for its own notices, instructions, and legal obligations.
2. Information we process
Depending on how the service is used, we may process:
- account, staff, organization, role, and contact details;
- customer names, contact details, repair numbers, access credentials, and communication preferences;
- repair records, work orders, statuses, assignments, due dates, vendor details, parts, notes, and audit history;
- photos, attachments, messages, and other content submitted by an organization or customer;
- billing, subscription, support, and transaction information;
- device, browser, log, security, diagnostic, and usage information.
3. How we collect information
We collect information from organizations and users who enter it, from customer tracking interactions, from connected services used to operate the platform, and automatically through logs, cookies, and similar technologies. We do not require a customer account for repair tracking when the organization provides a repair number and access credential.
4. Why we use it
We use information to provide and secure BenchRelay, authenticate users, display repair status, maintain replayable history, route messages, deliver requested notifications, process subscriptions, provide support, prevent abuse, troubleshoot incidents, improve reliability, and meet legal obligations. We do not sell repair records or customer contact information.
5. Sharing and service providers
We may share information with infrastructure, hosting, authentication, storage, payment, analytics, email, messaging, and support providers that help us operate BenchRelay. We may also disclose information when required by law, to protect rights and safety, to investigate abuse, or as part of a merger, financing, acquisition, or sale of assets. Providers may process information in other countries and may apply their own terms and privacy policies.
6. Customer instructions and content
For information submitted by an organization, we process it to provide the service and according to that organization’s instructions. The organization controls its repair records, team access, customer communications, and retention choices. We do not use customer repair content to create public profiles or advertise to the customer’s customers.
7. Retention and deletion
We retain information while it is needed to provide the service, support the organization, maintain security and audit records, resolve disputes, comply with law, or meet legitimate business needs. After an organization closes its account, content may be deleted or anonymized subject to backup cycles, legal requirements, fraud prevention, and the organization’s agreement. Organizations should export records they need before closure.
8. Security
We use reasonable administrative, technical, and organizational measures designed to protect information. No internet service, storage system, or transmission method is completely secure. Organizations are responsible for protecting credentials, limiting access, and reporting suspected compromise promptly.
9. Cookies and similar technologies
We may use necessary cookies for authentication, security, preferences, and core functionality. We may use limited analytics or diagnostic technologies to understand reliability and improve the service. Browser settings may restrict cookies, but some service features may not work correctly.
10. Privacy choices and requests
Depending on applicable law, individuals may have rights to access, correct, delete, restrict, object to, or receive a copy of personal information. Requests about a customer’s repair record should normally be directed to the service organization that created the record. Other privacy questions or requests can be sent to [email protected]. We may need to verify identity and coordinate with the relevant organization before responding.
11. Children
BenchRelay is a business service and is not directed to children. Do not use it to knowingly collect information from children in violation of applicable law.
12. International use
Clear IT Networks LLC and its service providers may process information in countries different from where it was collected. Where required, we use appropriate safeguards for international transfers.
13. Changes to this policy
We may update this Policy as BenchRelay, our practices, or applicable law changes. We will post the new version and update the date below. For material changes, we will provide reasonable notice through the service or another available contact method.
